This policy explains what personal data EmailVerificationSoftware.com (“we”, “us”) processes when you use our website and email verification service, why we process it, and the rights you have. We act as the data controller for the data described here. We process personal data in accordance with the EU and UK General Data Protection Regulation (GDPR).
1. Data we process
- Email addresses submitted for verification. Addresses you check — individually, in bulk CSV uploads or via the API — are processed transiently to perform the verification. Verification results are cached for up to 90 days, keyed to the address, so repeat checks are faster and cheaper. We never use checked addresses for our own marketing and never sell or share them with third parties for theirs.
- Account data. Your email address, name (if provided), hashed password and account settings.
- Usage and billing records. Credit balances, verification counts, API request logs and invoices.
- IP addresses and technical logs. We record IP addresses to enforce free-check quotas, detect abuse and keep the Service secure. Standard server logs (IP, user agent, timestamps) are retained for a limited period for security and debugging.
- Payment data. Payments are handled by Stripe. We receive transaction confirmations and the last digits of your card, but never your full card number.
2. Why we process it (legal bases)
- Performance of a contract — running verifications you request, managing your account and credits.
- Legitimate interests — preventing abuse of the free tier (IP-based quota tracking and proof-of-work challenges), securing the Service, and improving accuracy through aggregate, non-identifying statistics.
- Legal obligation — retaining billing records where tax and accounting law requires it.
3. Sharing
We share personal data only with processors who help us run the Service — payment processing (Stripe), cloud hosting and email delivery providers — under data processing agreements. We do not sell personal data. Where data is transferred outside the UK or EEA, we rely on adequacy decisions or standard contractual clauses.
4. Retention
- Verification results: cached up to 90 days, then deleted or anonymised.
- Bulk job files: retained while your account holds them; deletable by you at any time.
- IP-based quota records: retained for up to 30 days.
- Account and billing data: for the life of the account plus statutory retention periods.
5. Your rights
Subject to conditions in the GDPR, you have the right to access, rectify, erase, restrict and port your personal data, and to object to processing based on legitimate interests. You can exercise these rights by emailing us. You also have the right to lodge a complaint with your supervisory authority (in the UK, the Information Commissioner’s Office).
6. A note on the addresses you check
If you upload third-party addresses for verification, you are the controller of that list and we act as your processor: we verify the addresses, return results to you, cache results for up to 90 days, and do nothing else with them. You are responsible for having a lawful basis to process those addresses.
7. Cookies
We use strictly necessary cookies for login sessions and security. We do not run third-party advertising or tracking cookies on this site.
8. Changes
We will post any changes to this policy on this page and update the date above. Significant changes will be highlighted on the site or notified by email to account holders.
